What to put on a luggage tag

Airlines recommend labelling both the outside and inside of every bag. A fold-over tag hides your details from casual view while letting airline staff open it when needed.

Making a durable tag

1. Print on card stock (65–110 lb).
2. Cut out along the dashed border and fold where marked.
3. Laminate with self-adhesive laminating sheets or a laminator, leaving a small border around the tag.
4. Punch the hole through the laminate and add a reinforcement ring.
5. Attach with a cable tie, leather strap, steel loop or split ring.
6. Alternatively, slide the printed tag into a clear luggage tag holder.

School bag and kids’ tags

For children, put the child’s first name, class or teacher, and a parent’s phone number on the tag, and keep the surname and address off if you prefer. Bright colours help children spot their own bag among dozens of similar backpacks. A tag with an emergency contact is also useful on sports bags, instrument cases and lunch boxes.

Travel tips for tags and bags

• Put a copy of your itinerary and contact details inside the bag as well — outside tags can be torn off.
• Remove old airline barcode stickers so they are not scanned by mistake.
• Use a distinctive tag or strap so you can identify your bag quickly on the carousel.
• Photograph your bag and tag before you check it in, in case you need to report it lost.
• Consider a Bluetooth or GPS tracker for valuable luggage.

Design ideas

Choose a colour you can spot instantly on a busy carousel — coral, bright teal or purple stand out better than black, which most suitcases already are. Short front text such as your surname, “BON VOYAGE”, a family nickname or a simple icon makes the tag recognisable from a distance. For business travel, a navy or black tag with your company name looks professional; for school bags, bright colours and a big first name help younger children find their own bag.

Printing tips

• Print at 100% scale so tags stay business-card size.
• Use the “best” print quality for solid colour fronts.
• Let ink dry fully before laminating to avoid smudges.
• Cut with a paper trimmer for straight edges and round the corners with a corner punch.
• Print a spare set and keep it in your travel wallet.

Worked example

A family flying to a wedding makes four fold-over tags in coral with “BON VOYAGE” on the front, each with the parent’s name, mobile number with country code and email, plus “Reward if found”. They print one sheet on card stock, laminate the tags and attach them with cable ties. For the children’s backpacks they switch to school tags with each child’s first name and a parent’s phone number.

Choosing a tag material

Whatever the material, attach it with something that will not snap in baggage handling — a steel cable loop or cable tie is sturdier than a thin plastic strap.

Tags for other bags

• Sports bags and kit bags — name and team, plus a parent’s phone number for children.
• Instrument cases — name, phone and “musical instrument, handle with care”.
• Camera and laptop bags — contact details inside a fold-over tag.
• Pet carriers — the pet’s name, your phone number and any medical notes.
• Medical equipment bags — “medical supplies” so staff know to keep it with you.
• Conference and work bags — company name and a work phone.

If your bag goes missing

Report it at the airline’s baggage desk before leaving the airport and get a file reference. Give a clear description — colour, brand, size, distinctive tags or straps — and your contact details for the rest of the trip. Keep receipts for essentials you have to buy, as airlines may reimburse reasonable costs. A photo of the bag and its tag taken at check-in helps staff identify it.
